How to choose a summer party venue in London

1. Your real guest numbers

Capacity rules out more venues than anything else, so settle the number first. Take your headcount, then think about how many will actually come on a summer evening: holidays and hybrid working both bring numbers down. Plan for the likely figure, not the invite list.

Then look for a venue that fits the group rather than one that merely holds it. A space for 600 will feel empty with 150 people in it. Our group size pages only show venues that suit each size: big enough for the group, but not so big it feels lost. Of the 310 listings with a published capacity, 87 suit up to 100 guests, 82 suit 100 to 200, and 20 take more than 800.

2. Where your team is coming from

A venue ten minutes' walk from the office gets more people through the door than one that needs two changes on the Tube. If your team is in one office, start with the area it is in. If people come in from across London, pick somewhere near a station on the Elizabeth line or several Underground lines, such as Liverpool Street, Farringdon, King's Cross St Pancras or London Bridge.

3. The setting

Decide what kind of evening you want before you look at photos. The main choices are:

• Rooftops for views and a drinks-led party.
• Gardens and courtyards for something private and green, often in the City's livery halls or West End hotels.
• Boats for a party that moves past the landmarks.
• Activity venues where a game gives the evening a focus, from lawn bowls to crazy golf.
• Marquees for large numbers on a lawn.

4. A plan for the weather

An outdoor party in London needs a wet-weather plan. Ask every venue on your shortlist what happens if it rains: is there cover over the outdoor space, heating for a cool evening, or an indoor room you can move into? 5. Exclusive or shared

Exclusive hire gives you the venue to yourselves, with your own timings, branding and speeches. A shared party puts your group alongside others at a ticketed event, which suits smaller teams that want a big-party atmosphere without organising one. Before you book

With those five decisions made, most teams have a shortlist of three to five venues. For each one, ask what the hire includes, what the minimum spend or per-head price is for your date, how late the party can run, and whether the outdoor space is exclusive to you or shared with other guests.
